“We decided as an organisation that we had a requirement to set up an area to share documents and information accessible to all our team. We have a mixed team – both home and office based, and the solution had to be accessible by all.

“Axil Integrated Services Ltd is a new company that was established following an acquisition. The approach to Health & Safety recording of incidents and near misses was heavily reliant upon a manual paper system that was time consuming and therefore, did not provide quick access to the data.

“Flywheel assisted in building a reporting system within SharePoint based on the paper form that allowed all employees to input their own reports. The system is more streamlined, and the initial report is automatically emailed to the appropriate manager selected by the employee. On receipt, the manager can review the report and provide comment on what actions have or will be taken. The updated report is then sent to the Head of HSEQ for approval and sign off.

“Having the data within SharePoint has allowed us to link it with Power BI and give an immediate view on the status of reports based on site or individual against the KPI targets. A further improvement was to link the reporting system to a mobile phone app that allows drivers and others who aren’t office based to submit reports immediately rather than waiting several days before they may next be in an office.
