All companies that form part of Flywheel IT Services are committed to protecting and maintaining your privacy. We comply with data protection laws that are applicable in respect of data processing within the UK. Flywheel determines the purposes and the manner in which personal data is processed.

This privacy notice sets out how we collect, use and protect your personal information and your rights in relation to your information.

We may on occasion collect personal details from our business contacts. This information is kept in secure databases and is used solely for the purpose of conducting day to day business with the individual.

We collect only data provided to us by the individual we communicate with, for the purpose of conducting business transition and communication. We do not collect data from any outside sources.

Information we may collect

To facilitate your interest in Flywheel, we may collect and process the following data about you:

  • Your interests and motives regarding our services

We will use the information held about you for the purposes for which it was provided to us as stated at the point of collection (or as may be obvious in the context of collection). Your personal data will be used by us in the following ways:

We do not collect or compile personal data for release or sale to outside parties for consumer marketing purposes or host mailings on behalf of third parties.

We must have a legal reason to process your personal information. Your information will usually be processed to meet our legitimate interest to facilitate your interest in our business. In those few cases where your consent is required, this will be communicated to you at the point of collection.

Information storage and retention

We have in place security measures to protect the security of your personal information and keep it confidential. We review these measures regularly to make sure they remain appropriate. We cannot guarantee the security of any third-party application you may use to transmit your data (for example, internet browsers, email).

We do not process your data outside of the UK. We will keep your personal information for at least as long as we have a relationship with you. When deciding how long to keep your personal information after our relationship with you has ended, we take into account our legal, regulatory and professional obligations.

Disclosure of your information

We may disclose your personal data to any member of our group who need access to that information to assist in our work with you.

We may also disclose your personal data to third parties only in the format of group emails where your address forms part of the group. This is solely for the purpose of undertaking tasks you require from us. We do not profile individuals or use their information for any purpose other than day to day business communication

Our data is reviewed regularly by the teams responsible for collecting the data and is updated with information provided by the individual. If the individual is no longer in position or no longer a valid business contact the information is removed.

Any individual may request a copy of the information held. This can be done by writing to Flywheel at this address info@flywheel-it.co.uk with a heading personal data. Any request will be dealt with within 30 days.

Any individual may request that their information is removed from our data. This will be applied within 30 days.

Our website

When someone visits www.flywheel-it.co.uk we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

People who email us

We use Transport Layer Security (TLS) to encrypt and protect email traffic. If your email service does not support TLS, you should be aware that any emails we send or receive may not be protected in transit.

We will also monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law.

Your rights

You have rights regarding your personal information, including the right to access, correct, delete, restrict, or object to our use of it. We would encourage you to inform us if the information we hold about you is no longer accurate. We may need extra information from you to deal with any request. In the event that you have cause for complaint please contact us and we will follow up with you to resolve this. If you have a data privacy related complaint, you also have the option to direct your complaint to the Information Commissioner’s Office (ICO).
